Privacy Policy

OneSource Digital (ABN 52 232 486 442) is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy explains how we collect, hold, use and disclose personal information through our Website, our marketing activities, and our client services (including CRM automation carried out on behalf of clients).

How We Collect Personal Information

  • Directly from you — via our Website contact/enquiry forms, email, phone, discovery calls or signed SOWs.
  • Automatically — via cookies and analytics tools when you browse our Website (see our Cookie Policy, Section 3).
  • From third parties — such as referral partners, publicly available business sources (e.g., LinkedIn, company websites) for legitimate business-to-business outreach, or advertising platforms (Meta, Google, LinkedIn Ads).

Why We Collect, Use & Disclose Personal Information

  • To respond to enquiries and provide quotes/proposals.
  • To deliver contracted Services, including website development, branding, digital marketing, social media management and CRM automation.
  • To manage our own client relationships, invoicing and account administration.
  • To send marketing communications, where you have consented or as otherwise permitted under the Spam Act 2003 (Cth) (see Section 2.6).
  • To improve our Website and Services through analytics.
  • To comply with legal and regulatory obligations.

Disclosure to Overseas Recipients

OneSource Digital operates a hybrid delivery model. To perform the Services, personal information may be disclosed to our contracted Delivery Team members based in the Philippines, who are bound by confidentiality and data-handling obligations equivalent to those in this Policy. We take reasonable steps to ensure overseas recipients do not breach the Australian Privacy Principles, in line with APP 8. Personal information may also be disclosed to trusted third-party service providers we use to run our business and deliver client Services, including:

  • Cloud hosting and website platforms
  • CRM and marketing automation platforms
  • Payment processors (e.g., Stripe) and accounting software (e.g., Xero)
  • Analytics and advertising platforms (e.g., Google Analytics, Meta, LinkedIn)

Some of these providers may store or process data on servers located outside Australia (including the United States and other jurisdictions in which their infrastructure operates).

CRM Automation — Acting as a Service Provider

Where OneSource Digital builds or manages CRM automation, email sequences or marketing systems on behalf of a client, we handle the personal information contained in that system solely as a service provider acting on the client’s instructions. The client remains responsible as the primary collector for ensuring it has appropriate consent from its own customers/leads. A separate Data Handling Addendum can be provided within a client’s SOW where required.

 Direct Marketing

We only send marketing emails or SMS in accordance with the Spam Act 2003 (Cth) — meaning with your consent (including inferred consent from an existing business relationship) and always with a functional unsubscribe mechanism. We do not make marketing calls to numbers registered on the Do Not Call Register except where a lawful exemption applies (e.g., an existing business relationship). You can opt out of marketing communications at any time via the unsubscribe link or by contacting us directly.

 Data Security

We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure, including access controls, secure cloud storage, confidentiality agreements with contractors, and limiting data access to personnel who need it to perform their role.

Access, Correction & Complaints

You may request access to, or correction of, the personal information we hold about you at any time by contacting us using the details in Section 2.10 below. If you believe we have breached the APPs, you may lodge a complaint with us in writing; we will investigate and respond within a reasonable timeframe. If unresolved, you may escalate your complaint to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au .
